Russian Visa Support Information

Foreign visitors entering the Russian Federation must be in possession of a valid foreign passport. The current passport should be valid for a minimum of 6 (six) months after the visa’s expiration date and have at least 2 (two) blank pages (which do not need to be consecutive).

Since the Conference takes place during the tourist high season, we urge the participants to start the visa acquisition process as early as possible.
Please, read carefully the information below about two kinds of visas, e-Visas and Regular Visas, and follow the instructions as appropriate to you.

e-Visas

Starting 01 October 2019 nationals of 53 states may be granted a free e-visa to enter the Russian Federation through air, naval, automobile, and pedestrian checkpoints located in the territory of Saint Petersburg and the Leningrad region.

The e-visa is free. There is no need for any invitations or confirmations to apply for e-visa. The time period for issuing an e-visa is no longer than 4 calendar days from the date of submission of the complete application (however, we recommend to start the process beforehand).

The ordinary humanitarian visa (purposes of journey: scientific-technical relations) is suitable for the Conference participants. An accompanying person* may apply for the ordinary tourist visa (purpose of journey is tourism).

Please note:

  • The E-visa is a single-entry visa and issued for 30 calendar days from the date of its issuance. The permitted stay in the Russian Federation with an e-visa is up to 8 days starting from and including the date of entry, within its validity period. The E-visa validity and/or the permitted stay under it cannot be extended.
  • The E-visa requested for visiting Saint Petersburg and Leningrad region is valid for staying in these regions only.
  • You can fill in an application form for an e-visa on the website of the Consular Department of the Ministry of Foreign Affairs of the Russian Federation  https://evisa.kdmid.ru/ not earlier than 20 days and no later than 4 days before the intended date of entry into the Russian Federation.
  • Entry and exit on an e-visa by means of rail transport is currently unavailable. Additionally, please check the list of checkpoints suitable for an e-visa.

Please, carefully pay attention to all the information presented on the web site of the Consular Department of the Ministry of Foreign Affairs of the Russian Federation since it is vital for processing of your e-visa application and entry to the Russian Federation. Especially, pay attention to the allowed period of stay and name spelling required for the visa issuing.

 

If the conditions and characteristics of  the e-visa are not suitable for you, you will need a regular, not electronic visa. Please, read the information provided below.


Regular Visas

Foreign visitors must satisfy the visa requirements of their local Russian Embassy/Consulate, including an appropriate Visa Invitation Letter.

Therefore, all intended conference participants should first register to the ICLO 2020 web site and fill in the visa information through in their accounts for issuing the Visa Invitation Letter. If additional Visa Invitation Letter is required for an accompanying person* it will cost 40 Euro (Visa Invitation Letter processing fee).

Non-EU citizens (and citizens of the UK and Ireland)

- the Visa Invitation Letter should be issued by the Russian Federal Migration Service (FMS).

- the processing time for the Visa Invitation Letter varies from 4 to 5 weeks, and can be considerably longer if any documents are missing or if further information is required.

- the deadline for the Humanitarian Visa (purposes of journey: scientific and technological ties) support from the conference organizers is April 02, 2020.

Citizens of the EU (except citizens of the UK and Ireland), China, India, Japan, Norway, Switzerland

 - due to agreements between the Russian Federation and the EU (except citizens of the UK and Ireland), China, India, Japan, Norway, Switzerland about simplification of visas issuing the Visa Invitation Letter for citizens of mentioned countries can be issued by the Conference organizing services in 5 working days.

 - the deadline for the Humanitarian Visa (purposes of journey: scientific and technological ties) support from the conference organizers is April 27, 2020.

Important notices:

- the Visa Invitation Letter will only be sent to participants who have registered to the International Conference Laser Optics ICLO 2020 at laseroptics.ru and completed the visa information in in your ICLO account..

- in order to apply for the Visa participants must take the Visa Invitation Letter, along with all travel documents, to their local Russian Embassy/Consulate.
